JOB SUMMARY
Salary range: $125,000 - $150,000 annually, plus bonus potential.
Work location: Hybrid; Vancouver, WA.
The Senior Manager, Commercial Operations is responsible for overseeing the strategic and operational management of a portfolio of mixed-use commercial real estate assets, including retail and office. This role ensures the delivery of high-quality commercial management services, tenant satisfaction, and financial performance aligned with ownership goals in accordance with Holland Partner Group’s Core Values.
ESSENTIAL JOB FUNCTIONS
- Provide leadership and supervision for the Commercial Management team, including the execution and compliance of Holland’s commercial leasing standards.
- Maintain interface with third-party owners and Asset Management, ensuring total contract compliance and accurate and timely reporting.
- Stay up to date on industry standards, technology, and strategies to identify innovative solutions that will improve efficiency, processes, and/or enhance the tenant experience and present recommendations to Senior Leadership.
- Manage all commercial leasing agents/brokers for existing portfolios, consistently evaluating broker performance and sourcing new brokers when necessary.
- Approve all leasing brochures and obtain space plan drawings required for any retail vacancies (first or second generation).
- Coordinate review of legal documents and notices with legal counsel and serve as the liaison between counsel, Operations, and Asset Management/Ownership to obtain required approvals before delivering to the tenant(s).
- Provide new commercial tenant recommendations, conduct tenant screenings, and ensure applicants meet company standards, reviewing and evaluating the business plan(s) and financials of prospects and ensuring compatibility with operational strategy.
- Oversee active lease management and execution, critical dates, capital expense tracking (including purchase order management), and lease administration processes.
- Monitor stabilized tenant improvement projects to ensure tenant improvement projects are completed timely and in compliance with operating and building standards.
- Create, implement, and manage project specific retail resource manuals.
- Provide ongoing operations support and guidance to regional and site teams within the portfolio, supporting commercial portfolio reviews and trainings as needed.
- Oversee and manage triple net reimbursables and annual common area maintenance (CAM) reconciliations and estimates annually across portfolio, providing approval before delivering to Ownership and/or tenant(s).
- Prepare and analyze triple net projections, clauses, caps, and LOI/lease terms for upcoming projects to align with proforma review.
- Manage tenant complaints, concerns, performance as well as legal and Ownership matters to ensure timely and appropriate resolution, escalating to Residential Leadership as needed and providing recommended solutions supported by the guidance of Counsel, when appropriate.
- Provide monthly reporting timely and accurately to Executive Leadership and present reporting on Commercial Update calls with Operational Leadership, Development, and Executive Leadership.
- Collaborate with property management teams and Asset Management to prepare annual commercial schedules and budget processes for existing projects.
- Represent Holland Partner Group in a professional manner at all times.
- Perform all other duties as directed and assist the overall team effort in any way possible.
JOB REQUIREMENTS
Education: High School Diploma or equivalent is required. Bachelor’s degree in Business Administration, Real Estate, or related field preferred.
Experience: Minimum of six years’ experience in commercial and/or mixed-use property management, asset management, and/or lease administration required. Experience preparing legal documents and/or contracts strongly preferred. Previous supervisory experience required.
Knowledge, Skills and Abilities Required:
- Thorough knowledge of the commercial lease administration process, lease terminology, industry standard lease clauses, and loan document and PMA requirements.
- Ability to understand and clearly explain legal documents.
- Ability to perform multiple tasks and meet aggressive deadlines in a dynamic and complex environment.
- Excellent communication, interpersonal, and presentation skills.
- Proficiency in Microsoft Office Suite, with strong experience in Excel, and various Property Management Software. Yardi experience strongly preferred.
- Strong analytical skills.
- High level of attention to detail and accuracy.
- Ability to maintain high level of confidentiality.
- Must be proactive, flexible, responsible, and resourceful.
- Ability to work effectively with all levels of individuals while inspiring respect and credibility.
Attendance: This full-time position is exempt and requires the ability to be present and available during business hours to meet company and department needs. Additional hours or flexible schedule may be required.
This position also requires:
- Travel and overnight stays.
- Ability to lift or move up to 20 pounds.
- Hearing and visual ability to observe and detect signs of emergency situations.
- Fluency in English both verbally and non-verbally.
